Day 0 — the call
What do people ask you most? What should never be promised without you? Those two answers shape most of the configuration.
Week 1 — build and teach
I write its knowledge and its boundaries, connect your calendar, and get it handling the twenty questions you get most.
Week 2 — you try to break it
You and a few people you trust use it at a private link and try to trip it up. This is the important week, and it's where the real improvements come from.
Week 3 — live, then watched
It goes live on your site and I read the first weeks of transcripts closely, tightening anything that reads wrong.

The questions I actually get asked
Will customers know they're talking to an AI?
Yes — it's labelled, and if someone asks directly it says so plainly. Pretending otherwise is both wrong and bad business: people forgive an AI that's upfront and helpful, and they don't forgive discovering they were fooled. In practice most customers don't mind at all once they get a fast, useful answer.
What if it says something wrong?
That's the risk worth taking seriously, and it's handled with boundaries rather than optimism. It's given a defined set of things it can speak to, explicitly barred from quoting prices or committing to dates you haven't approved, and told to escalate rather than guess. It's tested hard before launch, and I read the transcripts afterwards. It won't be perfect — but it also won't invent a price.
Does it replace my receptionist?
No, and I'd be cautious of anyone selling it that way. It covers the hours nobody is at the desk and handles the repetitive first questions. If you have someone good on the phone, this frees them from repeating your hours forty times a week.
Can it answer the actual phone?
Right now I build this for website chat and web enquiries, which is where most after-hours contact starts. Voice is genuinely harder to do well, and I'd rather deliver one thing that works than two that nearly do. If phone answering is what you need, I'll tell you honestly that I'm not your best option today.
I'm a medical or dental practice. What about HIPAA?
Straight answer: an AI front desk that touches patient information is a HIPAA matter, and it needs a business associate agreement and a compliant data path. That's solvable, but it's real work and real cost beyond a standard setup, and I won't pretend it's included. For a practice, we'd start with a version that books appointments without collecting health details, and scope the compliant version separately if you need it.
What if I hate it?
Turn it off. There's no annual contract on the monthly fee — cancel and it comes off your site. The setup fee covers work already done, so the honest way to protect yourself is the try-to-break-it week, before it ever faces a customer.
